General Functions:

Responsible for maintaining the program waiting list and preparing the files for eligibility, ensuring all requirements are met for assistance. Responsible for Property Owners and/or Managers submitting appropriate paperwork as required. Assist with other general office duties as needed.

Position Requirements:

Education: Must have a High School Diploma, GED & one (1) year professional office experience and;
Must have excellent math skills, and professional training with a minimum of 1 year working experience in computer/ typing/data entry and;
Working experience in answering the telephone lines efficiently, good oral and written communications skills, pleasant manner and appearance;
Working knowledge of local social service providers and city services in order to best assist;
Must have abilities in prioritizing and organization skills in work load;
Knowledge of HUD Regulations and Housing Authority Policies preferred, including Fair Housing Laws;
Ability to complete VAWA and Fair Housing Training.
Ability to obtain a rent calculation certification, within 12-months of employment.

Duties & Responsibilities:

Maintain waiting list, including selection and processing of applicants for eligibility.
Maintain the RentCafe portal for applicants and processing of applications for eligibility.
Determine the eligibility of the applicants.
Prepare files from eligibility to processing for voucher.
Prepares files for briefing and prepares briefing packet.
Prepares file for voucher issuance.
Responsible for processing the Request for Tenancy Approvals (RTA), determines affordability.
Responsible for preparing Housing Assistance Payment contracts, including collection of all required documents from Landlord.
Responsible for ensuring accuracy of all documentation provided and enter in the system prior to release of payment.
Responsible for transferring documents from applicant file to the participant file, to include all required documentation in the appropriate file order.
Responsible for maintaining the Landlord Portal on RentCafe, ensuring all information is accurately provided for processing.
Responsible for handling of all incoming and outgoing mail, sorting to appropriate parties/departments.
Responsible for correspondence and checking drop box, at least twice a day.
Responsible for scheduling and mailing appointment letters.
Responsible for conducting the moving appointment with participants.
Responsible for ensuring various forms are available, make copies as needed.
Responsible for providing statistic reports for the HCV Director.
Assist with interim adjustments as needed.
Assist with answering phones and tending to walk-ins.
Assist with ordering of supplies as needed.

Working Environment:

Standard office setting

Hiring will be done in accordance with Hammond City Ordinance #8620 as it pertains to the residency requirement.
Position will be posted internally only from September 13, 2024, until September 19, 2024. If the position is not filled internally it will be held open for external applications an additional ten (10) days. The position will remain posted until filled or no more than 10 days.
